Deep down you know your business systems need some serious help, but you also know that it’s a big task and right now ain’t nobody got time for that!
I get it and I empathise because I’ve been where you are right now. You’re busy, overwhelmed and running yourself ragged because you’re doing everything yourself or having to check your team’s work to make sure it’s right.
But there’s only so much of that you can do before you burn out.
It’s for this reason, in this blog, I’m sharing how to get started when it comes to implementing or overhauling your business systems and processes so it’s not a massive job.
Before you do anything more: Start here!
There are really only three things you need to do to get started on your business systems implementation or overhaul.
- Plan
- Get help
- Implement
When you think about your business systems in this way, it’s not a big, scary, time-consuming task any more.
Planning your business systems for future growth
Did you know: Only 2 per cent of the companies surveyed said they always documented business processes. (Source: BPTrends)
A well-organised business that’s systemised doesn’t just happen, it’s planned. But there are so many facets to a business and as a business owner you have to be wise about where you spend your time.
So when you’re planning where to start with your business systems and processes, here’s the hot tips:
- Look at the area where you spend the most time. For example, service delivery, marketing, bookkeeping and so on. It’s likely this is the area giving you the most grief.
- Then download my free Business Systems Checklist and Self-Assessment here. Link to download page
- Next, give yourself a rating of 1-10 for each system (1 means you haven’t optimised that section of your business yet and 10 means you’ve got it sorted).
- Go through the Business Systems Checklist now, rate each area of your business, and then let me know where you sit.
- If you find most answers are 7 and under, get in touch and let’s optimise your business today.
- If your answers are above 7, it’s likely you still need a hand to update or overhaul the systems that are not working in your business or are yet to be implemented.
Once you have done the Business Systems Checklist, ask yourself the following questions from Process.st:
- Are there processes that take too long to complete?
- Do employees still make mistakes when following these processes?
- Are there bottlenecks in your business? Or does workflow stall in certain areas?
- Do any of the processes have steps that could be cut out?
- Does each process give you the desired result?
- Could your business’s processes be better in any way at all?
Get help and save your sanity!
When you are implementing business systems, you need help. You simply can’t do it all yourself because you’re too close to your business.
This is where your team or an extension of your team can help.
Team
Delegate the systems’ implementation or overheal to your team members.
OBM
Engage an Online Business Manager to help you project manage the implementation or overhaul (you’ll be really glad you did this!).
VA
Engage a VA to help you implement the systems. Please know, you will still have to oversee the management of these projects and you may need more than one VA depending on their skills.
Automation
Automate as much as you can. You may still need help to do this from your team, OBM or VA.
